Extracting PDF text: distinguish text documents from scans
To turn PDF content into editable text, start by identifying what the page stores: text or a scanned image. That distinction helps you choose an extraction method and review the result, even when pages look identical on screen.
Start by copying one sentence
Open the document in a PDF reader, select a sentence and paste it into a plain-text editor. Correct text is a useful signal, not a guarantee for every page. If selection fails, the page may be an image, though restrictions or structure can also impede extraction.
OCR recognises characters inside images. Some scanned documents already have an OCR-created text layer; being able to copy it does not prove that the recognised text is correct.

Editable text is not the original layout
A PDF can describe character positions without representing paragraphs or tables as a word processor would. Columns, spacing and footnotes may therefore need review after extraction. Producing editable DOCX text is different from reconstructing the complete page design.

Review the content, not just whether the file opens
Sample a paragraph near the beginning, middle and end. Then check sensitive details such as a name, date, amount and mixed Arabic/English heading.
For tables, match values to their column headings: a shifted number can change the meaning more than a spelling error. For Arabic, check words, numbers and punctuation, not merely paragraph direction.
- Keep the original PDF beside the editable document.
- If you only need to change a sentence and have the source document, edit the source first.
- An image-only scan needs OCR; text extraction alone cannot provide it.
- Do not upload sensitive documents to a service that does not meet their privacy requirements.
A repeatable editing check
Before conversion, copy a sample sentence such as “Meeting: 12/10/2026 — Room B, 09:30”. After conversion, find it, change a word, save the document and reopen it.
Check that the date, room and time remain correctly ordered. This verifies the particular example’s editability, not the accuracy of an unrelated table or scanned page.
